Accessing NHS Statutory and Mandatory Training From Home
Gloucestershire Hospitals NHS Foundation Trust staff and learners may need to complete statutory and mandatory training away from a hospital site. This can include infection prevention, fire safety, information governance, safeguarding, equality, health and safety, and other modules assigned to a specific role.
Home access usually depends on three things: a reliable internet connection, the correct NHS or Trust login details, and access to the approved eLearning portal. The exact sign-in process may vary according to whether you are a permanent employee, bank worker, student, contractor, or placement learner.
For staff based temporarily in Australia, the same general process applies, although time zones, browser settings, international networks, and local internet arrangements can affect access. A home NBN connection, a Telstra or Optus mobile hotspot, or a secure private network may work more reliably than public Wi-Fi.
Before starting, allow enough time to sign in, open the assigned course, complete each activity, and confirm that your result has been recorded. Avoid leaving a module until the final completion page unless the system clearly saves your progress.
Check your access details first
Use the Gloucestershire Hospitals NHS Foundation Trust eLearning portal or the specific training link supplied by the Trust. Have your Trust username, password, employee or learner details, and any required authentication device available before opening the module.
Some courses may be accessed through a learning management system, NHS electronic staff records, or another approved platform. If your instructions mention a separate system, use that system rather than searching for an alternative copy of the course. A duplicate module may not update your official training record.
Check that your password has not expired and that your account is active. New starters, returning staff, and learners on placement may need their access enabled before they can see assigned training. If the portal rejects your details, repeated attempts may lock the account.
Prepare a suitable home device
A desktop computer or laptop is generally better than a phone or tablet for mandatory training. Some modules contain presentations, audio, quizzes, or compliance declarations that are difficult to use on a small screen. Keep the device connected to power and avoid closing the browser during an assessment.
Use a current version of a supported browser, such as Microsoft Edge, Google Chrome, Safari, or Firefox, according to the portal’s technical guidance. Allow pop-ups, cookies, audio, and downloads when the learning system requires them. If a module opens in a new window, a pop-up blocker can make it appear as though the course is unavailable.
An NBN connection in Melbourne, Sydney, Perth, or another Australian city is usually suitable for standard eLearning. If your home connection is unstable, a personal hotspot may be useful, but avoid starting a long assessment while travelling between locations or relying on weak mobile reception.
Use a secure internet connection
Complete NHS training on a private home network wherever possible. Make sure your Wi-Fi password is enabled and that the router software is reasonably up to date. Do not save NHS passwords in a shared browser or leave the training portal open where other people can view confidential information.
Public Wi-Fi in an airport, hotel, café, university, or library is less suitable for staff training. Even when the connection works, it may interrupt authentication or expose your screen to others. If you are in Brisbane, where daylight saving is not observed, or in a different Australian state, a private home connection also makes it easier to work without interruptions caused by travel or changing networks.
A VPN may be required for some Trust services, but it should only be used if Gloucestershire Hospitals provides instructions for it. Do not install an unofficial VPN or browser extension to bypass a security restriction. If the portal works without a VPN, adding one can sometimes interfere with sign-in, video playback, or tracking.
Sign in through the approved route
Open the portal from a saved Trust instruction, an official Gloucestershire Hospitals webpage, or a link supplied by your manager, education team, or placement coordinator. Check the web address carefully before entering your password. Avoid links in unexpected messages that ask you to verify an account or provide personal information.
Follow the prompts for NHS or Trust authentication, including multi-factor authentication if it is enabled. You may receive a code through an approved authenticator, email address, or phone method. An Australian mobile number may not receive every type of automated message, so check the Trust’s approved alternative if you are overseas.
If you are using a work-managed device, connect to the required network or remote access service before launching the learning platform. If you are using a personal computer, follow the Trust’s rules about acceptable devices and security. Never share your login with a colleague so they can complete a course on your behalf.
Find assigned statutory training
After signing in, open the area labelled for learning, compliance, mandatory training, or assigned courses. The wording may differ between systems. Look for modules with a due date, incomplete status, or instruction to enrol.
Read the course description before selecting “launch” or the equivalent button. Confirm that the module belongs to Gloucestershire Hospitals NHS Foundation Trust and that you are opening the current version. Some subjects have separate versions for clinical and non-clinical staff, volunteers, students, or managers.
Complete all required screens, knowledge checks, videos, and declarations. A training record may remain incomplete if you read the material but do not submit the final quiz or acknowledgement. Keep a note of the course name and completion date in case the result takes time to appear.
Manage time zones and technical interruptions
The United Kingdom and Australia use different time zones, and Australian states do not all change their clocks on the same dates. A deadline displayed in UK time may fall earlier or later than expected in Adelaide, Brisbane, Darwin, Hobart, Melbourne, Perth, or Sydney. Treat the date shown in the portal as authoritative and avoid waiting until the final evening.
Video and interactive content can be affected by slow connections, browser extensions, or security software. If a course freezes, record the module title and the screen you reached, then close and reopen it only if the system indicates that progress has been saved. Taking screenshots of an error message can help the Helpdesk investigate.
Do not use browser translation tools or automatic form-filling features if they change course text or answers. Australian spelling may also differ from wording used in NHS materials, but answer the questions according to the module content and Trust policy.
Get help and verify completion
If you cannot sign in, cannot find an assigned course, or receive an error message, contact the Gloucestershire Hospitals eLearning Helpdesk using the official phone number or email address supplied by the portal. Include your name, staff or learner identifier, course title, device, browser, location, and a brief description of the problem. Do not send your password or authentication codes.
Allow for the UK–Australia time difference when contacting the Helpdesk. If you are working from Western Australia, Queensland, or the eastern states, the available response window may fall at an unusual local time. Send one clear report with any error screenshot and the time of the failed attempt rather than repeatedly submitting the same request.
When the module is finished, return to the learning record and check that its status says completed, passed, or equivalent. If a certificate is offered, save it in an approved work folder rather than a shared personal device. Before logging out, verify that the completion date and course title are visible; then close the portal and contact the Helpdesk with those details if the record has not updated.
